Position Summary:

The Administrative Assistant to the SVP, Head of Human Resources is a highly skilled administrative professional who provides a wide range of support to both the senior leader and broader HR Team on special projects and initiatives. The Executive Assistant requires strong computer skills, attention to detail, prioritization, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

Essential Functions:
Provides executive administrative support to include:
  • Booking and managing international and domestic travel arrangements through Concur,
  • Processing invoices and expense reports using internal payment system and Concur,
  • Coordinates and plans logistics for meetings; including agenda creation, note taking, calendaring attendees, reserving conference rooms, coordinating catering needs, printing and/or preparing meeting materials, conference room set up, etc.,
  • Handle details of a highly confidential, sensitive and critical nature and maintains professional confidentiality,
  • Responsible for effectively managing executive's calendar, prepare internal/external correspondence, and telephone screening,
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Independently and successfully completes deliverables with a hands-on approach; including, crafting well organized, grammatically correct memos, emails, reports, Excel spreadsheets and/or PowerPoint presentations as directed.
  • Maintain up to date business unit operating practices such as; record keeping systems, forms control, organizational charts, floor plans, and other documents with an eye on creating efficiencies.
  • Exercise administrative judgment. Assume responsibility for decisions, consequences and results impacting staff, costs, and/or quality of service with the functional area.
  • Plan or assist in the planning of special events.
  • Provide excellent customer service to internal and external clients
  • Other duties as requested and/or needed

Qualifications & Requirements:
  • Being extremely efficient, attention to detail, organized and resourceful.
  • Flexible and able to function well in a fast-paced, changing environment
  • Excellent verbal and written communication skills, note taking/dictation
  • Strong proficiency with Microsoft Office (Outlook, Word, Excel and PowerPoint)
  • Great interpersonal skills and professional interaction with internal and external clients
  • Ability to exercise good judgement in a variety of situations
  • High level of integrity, ensures confidentiality and controls access to sensitive information
  • Preferred Education & Experience Guidelines:
  • Bachelor's degree, preferably in business administration or related field, or equivalent experience.
  • A minimum of 5 years of experience as an executive assistance supporting a c-level executive.
